Yeti Books LLC ("YetiBooks," "we," "us") runs yetibooks.com and provides bookkeeping, payroll, tax and fractional CFO services to home service businesses. This policy explains what information we collect through our website, our web forms, our text messaging program and the YetiBooks app, including the bank, card and QuickBooks Online accounts you connect to it. It also explains how we use that information and the choices you have.
Financial records that clients share with us to do bookkeeping, payroll or tax work are also governed by the client's engagement agreement and by the confidentiality rules that apply to tax return preparers. Where those rules are stricter than this policy, they control.
Information we collect
Information you give us
When you request a quote, book a consultation, sign up through a partner page or contact us, we collect what you enter. That can include your name, email address, phone number, company name, industry, years in business, approximate annual sales, how you heard about us, and anything you write in a comments box.
If you become a client, we also collect the business records needed to do the work, such as bank and card transactions, receipts, invoices, payroll details and tax documents.
Information collected automatically
When you visit yetibooks.com, our servers and analytics tools record basic technical information: your IP address, browser and device type, the pages you view, the page that referred you, and the date and time of your visit. We use cookies and similar technologies for this, including Google Tag Manager and the analytics and advertising tags it loads. Our own cookie remembers how you first and most recently reached the site, such as the ad, search engine or link you came from. If you send us a form, we save that with your inquiry so we know how you found us.
Text messages
If you opt in to text messages, we collect your mobile number, a record of your consent and the messages and photos you send us. The section on text messaging below explains how we handle this information.
The app and connected accounts
If you use the YetiBooks app, we collect what you enter and approve there. If you connect bank or card accounts or QuickBooks Online, we receive data from those accounts. The section on the app and connected accounts below explains what we receive and how we use it.
How we use information
We use the information we collect to:
- answer your questions and prepare quotes
- schedule and hold consultations
- provide bookkeeping, payroll, tax and advisory services to clients
- run the YetiBooks app and keep connected accounts in sync
- send service and account messages you have agreed to receive
- run, secure and improve the website
- keep records that the law or our professional obligations require
We may send occasional emails about our services to people who have contacted us. Every marketing email includes a way to unsubscribe. We send marketing texts, up to 4 per month, only to people who separately check the box for offers in the YetiBooks app. You can turn them off in Settings → Text messaging or reply STOP.
How we share information
We do not sell your personal information. We share it only in these situations:
- Service providers: companies that help us run the business and the website, such as website hosting, our CRM and email platform, scheduling, online forms, payment processing, bookkeeping and payroll software, and our text messaging provider. They may use the information only to provide their service to us.
- Legal requirements: when we must respond to a subpoena, court order or other legal process, or when disclosure is needed to protect our rights, investigate fraud or protect someone's safety.
- Business transfers: if YetiBooks is sold or merges with another company, customer information may transfer to the new owner, who must honor this policy.
- With your consent: when you ask us to share information, for example with your CPA, lender or attorney.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Text messaging (SMS)
YetiBooks Client Messaging is the text program we use with clients and prospective clients who opt in. We send texts about your bookkeeping and account: questions about transactions, requests for receipt photos, appointment and consultation reminders, and account notifications. Some messages are written or answered by an automated assistant that our bookkeeping team supervises.
You opt in by checking the optional text message box on one of our website forms, or in the YetiBooks app under Settings → Text messaging. The box is never checked for you, and you do not have to check it to get a quote or become a client. In the app, marketing texts have a separate box.
Message frequency varies with your account activity. Marketing texts: up to 4 per month. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. You can also opt out by email or phone using the contact details below.
When you opt in, we keep a record of your mobile number, the date and time of your consent, the page or screen you used, your IP address and the consent wording you saw. We use this information, and the messages and photos you send, only to run the text program and the services you asked for.
We do not share, sell or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes. We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Our text messaging provider and the wireless carriers handle your number only to deliver messages on our behalf. The full program terms are on our SMS Terms page.
The YetiBooks app and connected accounts
Clients use the YetiBooks app at app.yetibooks.com to work on their books with us. In the app you can connect your bank and card accounts and your QuickBooks Online company. Our app license agreement covers your use of the app.
Bank and card accounts (Plaid)
We use Plaid to connect bank and card accounts. You sign in to your bank through Plaid, and we never see or store your bank password. Plaid sends us the account details and transactions we need to keep your books. Plaid's end user privacy policy covers the data Plaid handles.
QuickBooks Online (Intuit)
You connect QuickBooks Online through Intuit's OAuth sign-in. You pick the company and approve the connection. We never see or store your QuickBooks password.
Here is what the QuickBooks connection covers:
- Access: we request only the QuickBooks accounting scope (com.intuit.quickbooks.accounting). We do not request access to QuickBooks Payments.
- What we read: your company name and ID, chart of accounts, vendors and customers, classes and locations, transactions, and reports such as profit and loss and balance sheet.
- What we write: categorized bank and card transactions (expenses, deposits and transfers), vendors, and receipt attachments. We write them only after you approve them or your bookkeeper reviews them.
- Why we use it: to map your categories to your chart of accounts and keep YetiBooks and QuickBooks in sync.
- Security: we encrypt your QuickBooks OAuth tokens at rest and send them only over TLS.
- Disconnecting: you can disconnect QuickBooks at any time, in the YetiBooks app or in QuickBooks. When you disconnect, we revoke our token with Intuit and delete it.
- Retention: we keep synced records while your account is active and delete your tokens when you disconnect. We delete your data when you ask us to, or when your engagement agreement requires it.
- Sharing: we do not sell QuickBooks data or use it for advertising. We share it only with the service providers that run the app, such as our hosting and database providers, and with the YetiBooks staff assigned to your account.
Cookies and your choices
Most browsers let you block or delete cookies. If you do, parts of the site may not work as intended. You can opt out of Google Analytics with Google's browser add-on, and you can manage ad personalization in your Google account settings.
How long we keep information
We keep inquiry information for as long as it is useful for following up with you, and client records for as long as our engagement lasts plus the period that tax and professional record-keeping rules require. SMS consent records are kept for at least as long as you remain opted in, and afterward as proof of consent. When we no longer need information, we delete it or remove what identifies you.
Security
We protect information with access controls, encrypted connections and reputable service providers, and we limit access to the people who need it to serve you. No system is perfectly secure, so we cannot guarantee that information will never be accessed without permission. Please do not send full Social Security numbers, bank account numbers or passwords by text message or email.
Your rights
You can ask us to show you the personal information we hold about you, correct it, or delete it, subject to the records we are required to keep. Email or call us using the details below and we will respond within 30 days. Depending on where you live, you may have additional rights under state privacy law, and we will honor them.
Children
This website and our services are for businesses and their owners. We do not knowingly collect information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.
Links to other websites
Our site links to other websites, such as scheduling and payment pages run by our providers. Their privacy practices are their own, and we encourage you to read their policies.
Changes to this policy
We will post any changes on this page and update the date at the top. If a change affects how we use information we already have, we will tell you before it takes effect.
